Reasons you should not send file attachments in email

Before you send that attachment via email, please consider these points:

 

Number 5

There are far more reliable ways to send files than using email: Microsoft OneDrive, Google Drive, Dropbox, Box.com, Copy.com, Cubby, iCloud and many more.  If you want to share without signing up for an account, you can use sites like emailattachment.net, WeTransfer, Send Anywhere, getalink.com or many others.

 

Number 4

You take a risk that your email will be marked as spam and missed by the recipient.  Anti-spam tools may mark your attachments as spam causing it to be moved to a spam folder out of view of normal users.  If your recipient is not well verses in email procedures, they may not be able to find your file.  Not everyone knows the ins and outs of their email client.

 

Number 3

File attachments cause extra load on email servers.  Not only does it take longer to send the email because of the size, but it gets scanned by multiple anti-virus and anti-spam programs along it’s route.  Depending on the number of email users, the number of attachments sent by everyone and the number of attachments coming into the servers, that delay can be minutes or even several hours, depending on the loads.

There is no official standard among ISPs and Email Service Providers in general as to the allowed size of email attachments.  While your company may allow a 50 MB file to be transferred in email, others may not.  You may not be aware, without research, who you can send that larger file to or which email attachment you need to split into separate emails.

You take a chance that you will need to resent the email or find another way to deliver the attachment to the recipient which causes more work for you and for the person on the other end.

End of Life for Microsoft Server 2003

As of July 14, 2015, Microsoft will no longer support Server 2003.

What does this mean to you as a Business Owner?

After the end of life date for Server 2003, Microsoft will no longer support the software.  It will not issue Security Updates.  There are always vulnerabilities in systems and Server 2003 is no exception.  Today if an exploit is discovered, Microsoft usually finds out about it, creates a fix for it and releases the fix in the form of an update.  Once support has ended, this will no longer happen.  Any existing exploits in the system can then be used by hackers.

Facebook page or Facebook group

Q: Should we set up a Facebook page of a Facebook group for our company/ organization /team?

If you are looking to move your brand into the world of social media, you will want to consider what kind of interaction you want with your supporters.

A Facebook Page is mainly used to allow your organization to more formally manage its push of information to the masses. Pages allow you track how many members you have and keep detailed analytics on page visits. It also allows for more targeted messaging. If you are going to be passing information from your organization to the public without much interaction with your members, you can use a page to brand yourself in the social media. You will most likely also want a Twitter and/or Google+ account for the same entity.

A Facebook group is more like an informal conference room with a less controlled environment. Everyone is allowed to talk and interact more freely, maybe even with different sub-topics of the original group. The group is more open to mass communications between the members and not just to the branded entity. Information in a group is usually more free-flowing than on a page. A group can also limit its membership by only accepting private members or requiring all post to be approved by an administrator before being posted.

If you compare it to live events: a page would probably have a speaker in formal setting and a group would be more of an informal meeting hall with maybe a presenter or two with free-flowing topics. Groups have the option of allowing everyone to speak while pages limit that ability but allow you to track visitors and analytics.

Support Ending for Windows XP

April 8, 2014 marks the end of the line for Windows XP

What does that mean for you?

Microsoft has decided that it will no longer support Windows XP after April 8, 2014.  If you have Windows XP you will no longer get Windows Updates which contain important security patches for Windows XP.  Included in these updates are any software updates or fixes for hardware and other Microsoft software products such as Microsoft Office products.

It may also be time to consider new hardware.  Since Windows XP has not been sold for several years, you may have hardware that is too outdated to run the newer operating systems.  The price of upgrading to a new Operating System on older hardware most likely can not be justified.

What should you do?

If you believe you have newer hardware, you may be able upgrade to either Windows 7 or Windows 8.  The minimum needed to upgrade is a 1 GHz processor with support for PAE, NX, and SSE2, 1 GB of RAM, 20 GB Hard drive space, and Microsoft DirectX 9 graphics device with WDDM driver.

Realizing that these are the very minimum needed to run the operating system, the following requirements are suggested for anyone wanting to do anything more than simple use the internet: 2 GHz processor, 2 GB of RAM, 80 GB Hard drive and Microsoft Directx 9 support.

What if I want to keep Windows XP

Truthfully you need to know that you will be more likely to be infected with viruses and malware due to Windows XP vulnerabilities.  Malware writers quickly use exploits in system to install their malware. Any issues with the Windows Operating system itself will not be fixed by Microsoft so the exploits will always be vulnerable.  Microsoft will not provide Windows XP users with any support should you have any problems with your Operating System.

What if I do not us my computer on the internet?

If you absolutely do not connect to the internet at any time, then you will still be able to use your computer as you have in the past.  This means absolutely no internet access. Any wired connection to the internet should be unplugged and any wireless access should be turned off or removed to prevent accidental access. The biggest problem with the end of support comes with internet connected computers.  If you are not on the internet then you can not be infected with problems from the internet.

One caveat: Even if you are completely off the internet, if you use a USB drive, CD, DVD or any other means to transfer files that are infected to your XP computer you may still be subject to infection.

Remove Programs in Safe Mode

There are some programs that once installed in Windows simply refuse to leave peacefully. Sort of like Uncle Dale last summer.  To remove these programs it may be necessary to uninstall then in Safe Mode.  But wait.  Safe Mode does not allow a lot of programs to run, especially programs that use the Windows Installer application.  That means you can not remove programs in Windows Safe Mode, normally.

To work around this problem, we need to add some entries to the registry that will allow the Windows Installer to be treated as a safe program that is allowed in Safe Mode.  The registry keys to add will depend on which Safe Mode option you selected at startup.

For Regular Safe Mode

REG ADD "HKLMSYSTEMCurrentControlSetControlSafeBootMinimalMSIServer" /VE /T REG_SZ /F /D "Service"

For Safe Mode with Networking

REG ADD "HKLMSYSTEMCurrentControlSetControlSafeBootNetworkMSIServer" /VE /T REG_SZ /F /D "Service"

Then you start the MSIServer and any program that require the Windows Installer will have access to it in Safe Mode.

net start msiserver

Using Strong Passwords

Using strong passwords should not only prevent a human person from guessing your password, but also a computer or computers from randomizing [guessing] your password. This is especially true if you have access to any sensitive data. Sensitive data can be anything from customer names and phones numbers, social security and credit card number to patient illness and treatment information.

Although a personal preference, here are a few guidelines when creating strong secure passwords:

 

  • DO make it over 8 characters in length.
  • DO include uppercase, lowercase, numbers, and symbols.
  • DO change it often based on importance. (ie Banks every 90 days, etc).

 

  • Do NOT use words that can be found in any Dictionary.
  • Do NOT use foreign language words (they are still words in a dictionary).
  • Do NOT use sequential or repetitive characters (ie. 123456, qwerty, 00000).
  • Do NOT use names of people or places.
